KalTalk ("we", "us", "our") operates the kaltalk.com website and the KalTalk mobile application. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform.

By using KalTalk, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use our services.

2. Information We Collect

Account Information

When you create an account, we collect your name, email address, and password. If you sign in with Google, we receive your name, email, and profile picture from Google.

Organization Data

We store organization names, team member information, and billing details necessary to provide our services.

Conversation Data

Messages exchanged between your team and your customers through the KalTalk widget, email, or API are stored to provide the support inbox functionality. This includes text messages, images, and metadata such as timestamps and sender information.

Customer Visitor Data

When visitors interact with the KalTalk chat widget on your website, we may collect their name, email (if provided), browser type, operating system, IP address, country, and timezone to provide contextual information to support agents.

Knowledge Base Content

Documents, URLs, and text you upload to train your AI agent are stored and processed to generate embeddings for retrieval-augmented generation.

Device Information

When you use our mobile app, we may collect device tokens for push notifications, device type, and operating system version.

3. How We Use Your Information

  • To provide, operate, and maintain our platform
  • To process and deliver AI-generated responses based on your knowledge base
  • To send push notifications about new messages and escalations
  • To process billing and subscription management via our merchant of record (Creem)
  • To improve and personalize user experience
  • To communicate with you about updates, security alerts, and support
  • To detect, prevent, and address technical issues or abuse

4. Data Sharing and Third Parties

We do not sell your personal data. We share information only with:

  • Creem.io - our merchant of record. Creem is the legal seller for all paid subscriptions and handles payment processing, billing, invoicing, and tax remittance globally. Receipts and invoices are issued by Creem.
  • AI Model Providers - conversation content may be sent to third-party AI model providers to generate responses. This data is processed under their data processing agreements and is not used to train their models.
  • Cloud Infrastructure - we use cloud hosting providers to store and process data securely
  • Sentry - for error tracking and application monitoring (no personal data is intentionally sent)

5. Data Retention

We retain your data for as long as your account is active or as needed to provide our services. Conversation data is retained until you or your organization deletes it. If you delete your account, we will remove your personal data within 30 days, except where we are required to retain it for legal or compliance purposes.

6. Data Security

We implement appropriate technical and organizational measures to protect your data, including encryption in transit (TLS), secure password hashing (bcrypt), and access controls. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

7. Chat Widget and Cookies

The KalTalk chat widget uses a session identifier stored in the browser to maintain conversation continuity. This identifier expires after 30 days of inactivity. The widget does not use tracking cookies or third-party analytics.

8. Your Rights

Depending on your location, you may have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Object to or restrict processing of your data
  • Data portability
  • Withdraw consent at any time

9. Children's Privacy

KalTalk is a business-to-business service and is not intended for use by individuals under the age of 16. We do not knowingly collect personal data from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy on this page and updating the "Last updated" date. Continued use of the service after changes constitutes acceptance of the updated policy.
